1. Introduction
Quick Assess is a vehicle assessment and reporting platform intended for insurance companies and authorised insurance professionals. This Privacy Policy explains how the Quick Assess website and related services collect, use, share, protect and retain personal information.
The public website includes informational pages, contact and demonstration requests, developer information, service-status pages and report-verification services. Use of the authenticated insurer platform may also be governed by the applicable agreement with the insurer and any separate privacy or data-processing terms.
For enquiries submitted directly to us, we ordinarily determine how the information is used to respond. For claim or assessment information supplied by an insurance company, the insurer and Quick Assess may have different responsibilities under their agreement and applicable law. We process such information only for authorised purposes.
2. Information we collect
Depending on how you use the service, we may process:
- Business enquiries: your name, organisation, job title, business email address, telephone number, enquiry category, message and correspondence history.
- Account and access information: identifiers, authorised roles, insurer affiliation, login and security events, where an account has been provisioned.
- Assessment information: vehicle details, requested spare parts, claimed amounts, evidence images and related assessment/report data, where provided by an authorised insurer user through the protected platform.
- Report-verification information: the public verification reference or token, verification result and limited technical/security events. Public verification is designed not to reveal claimant identities, claim details, vehicle identifiers, photographs, spare-part prices or full reports.
- Technical and security information: IP address, browser and device information, timestamps, referring pages, logs and signals used to maintain the website and detect automated, abusive or fraudulent form submissions.
- Preferences and cookies: session and security preferences, and optional analytics preferences if those features are enabled.
3. Why we use information
We use information as necessary and permitted by applicable law to:
- Respond to contact, product, pricing, demonstration and integration enquiries.
- Arrange onboarding and provide requested support or service communications.
- Operate authenticated insurer assessment, reporting and verification functionality in accordance with approved access rights and contractual arrangements.
- Protect the website and platform, detect spam, bots and abusive submissions, investigate security incidents and prevent misuse.
- Maintain technical reliability, troubleshoot errors and improve the usability and accessibility of our services.
- Meet applicable legal, record-keeping and regulatory obligations.
- Send optional product news or marketing communications only where permitted and, where required, with your separate choice or consent. You may opt out of such communications.
We will provide the information required at the point of collection and obtain consent when the law requires it. Submitting a business enquiry is not automatic consent to receive unrelated marketing messages.
4. Who receives information
Information is accessible only to people and service providers with a legitimate need for it, which may include:
- Authorised Quick Assess personnel responsible for enquiries, product support, security and administration.
- The relevant insurance company and its authorised users for records within that insurer's permitted scope.
- Contracted hosting, email, technical-support and security providers acting for authorised purposes, subject to appropriate confidentiality and data-protection arrangements.
- Regulators, law-enforcement bodies or courts where disclosure is required or lawfully permitted.
We do not sell website enquiry information to third parties for their advertising. We do not publish complete assessment records through public verification pages.
5. Spam and bot protection
Our public forms use protective measures such as validation, rate limits, hidden anti-bot fields, duplicate-submission checks and, if enabled, a challenge/verification service. Potentially abusive submissions may be blocked or held for manual review. These technical checks are intended to protect the service and are not determinations that any individual has committed fraud.
If Cloudflare Turnstile or another third-party verification service is activated, relevant technical data may be processed by that provider. The production website will identify active third-party tools and link to their applicable privacy information. We aim to minimise stored security signals and provide an accessible way for genuine visitors to contact us if an automated check fails.
6. Cookies and analytics
We may use essential cookies or comparable technology for session management, security and basic website operation. Any optional analytics or marketing technology will be disclosed and managed according to applicable consent requirements before activation. You may control cookies through your browser and, where provided, the website's cookie settings.

7. How long we keep information
We retain personal information only as long as necessary for the stated purpose, an applicable contract or a legal obligation. It is then deleted, securely destroyed or de-identified as appropriate.
The publication-ready policy must state actual approved periods:
- Public contact, pricing and demo enquiries: [APPROVE RETENTION PERIOD, e.g. 12 months after last meaningful contact].
- Security, anti-spam and access logs: [APPROVE RETENTION PERIOD, e.g. 90 days, unless a security incident requires longer].
- Assessment and account records: [INSERT CONTRACTUAL / STATUTORY RECORD-RETENTION POLICY].
- Backups: [INSERT BACKUP EXPIRY / DELETION PRACTICE].
These example periods are proposals only and must match the system's implemented retention jobs and legal obligations before this notice is approved.
8. Data security
We use reasonable organisational and technical safeguards appropriate to the information being handled, including role-based access and measures designed to restrict access to insurer records. No online service can guarantee absolute security. Please inform us promptly if you believe an account, document or report-verification link has been compromised.
9. Processing and storage outside Uganda
Some technology providers may host or process information outside Uganda. Before any such transfer, we assess and apply the conditions required by Uganda's Data Protection and Privacy Act, including the requirements relevant to adequate safeguards or consent. The list of actual providers and relevant countries must be reviewed and recorded before this notice is approved.
10. Your rights and choices
Subject to applicable law, you may request access to personal data held about you, seek correction of inaccurate information, object to certain processing, ask us to stop processing where the law provides that right, and request deletion where appropriate. You may also withdraw consent for optional communications where processing depends on that consent.
To make a request, contact info@quick-asses.com. We may need to verify your identity and, for insurer-controlled assessment data, coordinate with the relevant insurer. You may also contact Uganda's Personal Data Protection Office if you believe your data-protection rights have not been respected.
11. Children's privacy
The public website and services are intended for businesses and authorised professional users, not for children to use independently. If we discover personal data was submitted through a public enquiry by a child without the required authority or consent, we will handle the matter in line with applicable law.
12. Changes to this policy
We may update this notice to reflect changes in the platform, service providers or legal requirements. The effective date will be updated when a revised version is published. Material changes will be communicated where required.
